Booking Terms and Conditions

General Hire Notes

  • All equipment EXCEPT surfboards are rented on a calendar day basis (or part thereof), not by the hour or in 24-hour blocks.
  • Surfboards are rented/charged in 24hr blocks or part thereof. Late returns can impact following bookings and returns after your nominated finish time will be charged $25 per hour late

Customer requested Booking Changes and Cancellations

  • Changes/Cancellations More Than 7 Days Prior: Eligible for a full refund.
  • Changes/Cancellations Between 7 Days and 48 Hours Prior: Eligible for a 75% refund.
  • Changes/Cancellations Less Than 48 Hours Prior: Not eligible for a refund. This includes cancellations for weather and conditions or illness. However, credits may be issued at our sole discretion.
  • PRIVATE TOUR /PROGRAM POLICY – CHANGES WITH LESS THAN 7 DAYS NOTICE are ot eligible for a refund. This includes weather cancellations not deemed significant or illness. However, credits may be issued at our sole discretion.

Please Note: This policy applies to all cancellation reasons, including weather, illness, injury, border closures, and isolation orders.

Unfavourable conditions are not a basis for cancelations of equipment hire or tours outside of our standard terms. At our discretion we may offer a credit or rebooking for another date. 

Unavailability of Items

While we strive to provide the equipment selected at the time of booking, unforeseen circumstances (such as damage or negligence by a previous hirer) may make your selected equipment unavailable. In such cases, we will offer the closest available alternative. If you do not wish to proceed, a full refund will be provided, but no additional compensation beyond the cost of the hir

Early Collection

  • If you wish to pick up your equipment the afternoon prior to your booking, you may indicate this on the booking form.
  • If the equipment is available, early collection is possible for an additional charge of 50% of the full daily rate.
  • Requesting early collection does not guarantee availability. To ensure availability, please select the correct booking dates as we cannot accommodate cancellations based on early collection issues.

Breakage, Loss, Theft, and Unreasonable Use of Rental Equipment

  • Equipment will be carefully inspected before pickup/delivery. For surfboards, photos will be taken to ensure item quality.
  • General wear and tear is acceptable upon return. However, major damage, loss, or negligence will result in charges to the responsible party.
  • The person named on the rental agreement is responsible for all breakages, loss, or theft.

Major Damage or Negligence Includes:

Premium Boards:

  • Lost or damaged fins/damaged fin box
  • Snapped, broken, or creased boards
  • Major wax melt requiring full rewax
  • Any damage allowing water into the foam
  • Major compressions not expected from regular use
  • Excess sun damage
  • Any other damage deemed unusual or unreasonable

Bodyboards:

  • Delamination due to excessive sun
  • Bent, creased, or broken boards
  • Cuts/lacerations to the foam
  • Damage to the slick underside of the board
  • Lost or damaged fins
  • Any other damage reasonably attributable to misuse or accident

Bikes and Other Equipment:

  • Structural or serious cosmetic damage to the frame
  • Bent components from crashes or transport
  • Excessive tire wear from skidding/misuse
  • Damage to the charge point
  • Crash damage
  • Rim damage from riding with flat tires
  • Rust or mold due to improper storage
  • Any damage that should not occur during normal use

Note: If equipment is assessed as uncleanable, irreparable, or unusable, you may be liable for full replacement costs. Repairable items will incur charges for parts, labor and other losses and costs incurred.

Lost Components

  • Lost components will be charged at cost.
  • For items with easily lost parts, we provide content lists with indicative replacement costs.
  • If a credit card is on file, all charges will be made to the card held.

Late Returns of Rental Equipment

  • Late returns will be charged at the full daily rate for each day (or part thereof) that the equipment is late.
  • Additional charges may apply for refunds issued to other customers or staff wages incurred due to the late return.
  • If a credit card is on file, all charges will be made to the card held.

Equipment Faults Including Flat Tires and Broken Chains

  • While we will assist with equipment issues (e.g., flat tires, broken chains), immediate assistance may not be available.
  • Equipment faults do not relieve the hirer’s responsibility for the equipment.
  • Abandoned equipment due to faults, including flat tires, will be considered lost, and the hirer will be charged the full replacement value.
  • Flat tires are not grounds for refunds or discounts.
  • Hirers are encouraged to ensure they are self-sufficient, especially in hard-to-access locations. Tools for repairs can be provided upon request.

Flat Batteries on E-Bikes

  • E-bikes are provided fully charged. However, range varies based on rider weight, mode, terrain, and gear usage.
  • We do not provide pick-ups for flattened batteries, and the bikes are still ridable with a flat battery.
  • Please ask our staff for tips on maximizing range if concerned.

General Guidelines

  • Equipment must be returned in the same condition as provided.
  • Equipment must be returned to the same location from which it was rented.
  • Rental bikes are not to be ridden on the beach (cleaning fees apply).
  • Bikes must not be ridden at night unless lights are fitted.
  • An Australian-approved bicycle helmet must be worn at all times when riding.
  • Minimum legal age to ride an e-bike is 12 if supervised by an adult and 16 if unsupervised.

Rescue

Where we have to collect guests or equipment for any reason that we deem to be unavoidable on our part or as a result of poor customer choices including (but not limited to) flat tire, broken chain, accident, exhaustion, flat batteries or becoming lost all charges associated with this will be charges including a MINIMUM of $75 per hour (charged in 1 hour blocks) from departure to return.

Liability Waiver

All hires are subject to the hirer’s acceptance of the liability waiver.

Pick Up / Return in Person

  • All equipment can be picked up from our workshop at U12, 20 Venture Drive, Noosaville.
    • Monday – Saturday: 8:30 AM – 4:30 PM
    • Sunday: 10:00 AM – 3:00 PM

Delivery and Collection Fees

  • FREE Delivery/Collection: Available for all bookings over $350 within the Standard Noosa Delivery Area. (One free delivery and collection per booking, if you book different items with different dates there will be additional charges applied for multiple drop off or collection dates)
  • $25 Flat Delivery Fee: Applies for bookings between $100 and $350, within the Standard Noosa Delivery Area (includes delivery and collection).
  • Delivery Not Available: For bookings less than $100.

Standard Noosa Delivery Area

  • The Standard Noosa Delivery Area includes:
    • Noosaville
    • Tewantin
    • Noosa Heads
    • Sunshine Beach
    • Sunrise Beach
    • Castaways Beach
  • Delivery requests for areas south of Castaways Beach will incur an additional fee based on location. Please contact us to discuss.

Delivery Requests

  • Delivery requests made less than 24 hours prior to the requested delivery time are subject to confirmation based on delivery driver availability.
  • Delivery typically occurs between 9:00 AM and 10:45 AM, but exact times cannot be guaranteed in advance. Delivery times will be arranged on the morning of delivery.
  • For single-day hires, we suggest picking up equipment from our workshop. We offer several self-guided tour routes that start and finish at our location.

Collection

  • Collection of equipment occurs from 3:00 PM on the final day of booking, between 3:00 PM and 4:45 PM. Exact times cannot be guaranteed and will be arranged on the day of collection.
  • All customers who choose delivery must ensure they are available from 3:00 PM on the final day for collection.
  • If the equipment is not available for collection between these times, additional charges will apply, as per our terms and conditions.

Delivery Conditions

  • Delivery is only provided for bookings that have been paid in full and where the booking waiver has been completed online.
  • We will make every effort to deliver as close as possible to any requested specific delivery time; however, we cannot guarantee availability in advance.
  • We will contact you prior to your booking commencement to confirm the delivery timeframe and again when we are en route.
  • If we cannot contact you directly prior to delivery, the bikes will not be delivered unless prior arrangements have been made.
  • Delivery is only guaranteed for bookings made at least 24 hours prior to the requested delivery date. For requests made less than 24 hours in advance, alternative arrangements may be necessary.

Failure to Deliver or Collect

  • If the person responsible for the booking is not at the nominated location at the confirmed delivery time, we cannot guarantee that the bikes can be re-delivered later.
  • If the bikes are not available for collection by 3:00 PM on the final day of the rental period, or if we are unable to contact you to arrange collection, additional charges will be incurred. These fees will reflect the full cost to the business, including:
    • Staff wages
    • Fuel expenses
    • Compensation to other customers impacted by the late return
  • Any bookings extended due to failed collection will be charged at the FULL daily rate for each additional day the equipment is not returned.
  • Further charges may be incurred if the failure to return the equipment impacts other customers or increases staffing costs.

Booking Accuracy

  • Please ensure your booking accurately reflects the bikes and accessories you require. We cannot guarantee the availability or redelivery of alternative bikes or accessories if unsuitable items are booked or specific accessories were not requested.
Liability Waiver

This waiver must be signed by all participants, or, in the case of minors, their legal guardian, before any activities can commence.

Weather Considerations and Cancellations by Us

  • In case of severe weather (heavy rain, strong winds, storms), we may cancel tours. If canceled, you will be offered a full refund or alternative arrangements.
  • Changes to tour routes due to weather, trail closures, or other factors may occur. If the route change materially alters the tour, you will be offered a refund or rebooking. If the change does not significantly affect the tour, it will proceed as planned.
  • We will not conduct activities if the weather presents an unreasonable risk, even if requested by participants. Minor weather conditions like clouds or light rain will not warrant tour alterations or cancellations.

Minimum Group Size and Other Cancellations by Us

  • All group tours are subject to minimum group sizes. In rare cases of insufficient numbers, you will be notified the day before your tour and offered a full refund or rebooking.
  • In the event of staff unavailability (e.g., illness), you will be contacted as soon as possible and offered a full refund or rebooking.

Rider Height and Bike Sizes

  • Rider heights must be accurately provided when booking. Inaccurate heights may result in unsuitable bikes, and no refunds will be provided if participation is not possible due to incorrect information.
  • Limited capacity exists for riders under 145cm. If there are issues with bike availability, we will contact you to arrange alternatives.

Infants, Toddlers, and Young Children

Bike Tours

  • Infants, toddlers, and children using baby seats, chariot trailers, or tag-alongs can participate in SELECTED bike tours at no charge. Ensure they are noted on the booking, and we will inform you if accommodation is not possible.

Kayak Tours

  • Infants and toddlers under 3 can participate in SELECTED kayak tours at no charge, provided they are noted on the booking. We will contact you if accommodation is not possible.

Late Arrivals & Wrong Locations

  • All times and locations are clearly listed. Seriously there are links on the emails, the address is documented in multiple places in your booking conformation and on the bottom of every page of our website and the product information pages, we have warned about Ubers being unreliable. Failure to arrive on time is a failure of planning may result in missing your tour. Refunds or credits are never provided for late arrivals or people who go to the wrong address. Seriously just read the emails, its 100% super clear and is complete with links….. As you may have assumed from this warning many people still do not read the directions and go to a variety of very random places or turn up late and are surprised the tour has not waited for them. Please plan ahead and don’t make the same mistake 🙂

Equipment Requirements

  • If participants bring their own equipment, it must meet safety standards. Unsafe or unsuitable equipment will result in exclusion from the activity, with no credits or refunds provided.

Route, Fitness, and Skill Considerations

General Requirements

  • Participants must possess the required fitness, skill, and self-awareness to safely complete the tour. If not, the guide may modify the tour or exclude the participant from the activity. Refunds or credits where participants do not have the basic skills or physical capability to safely complete the tour are at our sole discretion.

Bike Tours

  • Participants must be capable of confidently riding a bike. Public roads, bike paths, and footpaths may be used. All participants must be able to follow road rules and ride safely around vehicles and pedestrians.
  • Minimum legal age to ride an e-bike is 12 if supervised by an adult and 16 if unsupervised. As such we can not accommodate any child under 12 on any e-bike tours

Mountain Bike Tours

  • Mountain bike tours assume prior experience on basic mountain bike trails. Participants who pose a risk to themselves or others may be required to cease riding, at the guide’s discretion.
  • Minimum legal age to ride an e-bike is 12 if supervised by an adult and 16 if unsupervised. As such we can not accommodate any child under 12 on any e-bike tours

Kayak Tours

  • Kayak tours are conducted on lakes and calm rivers. No prior experience is required, but participants must have the stamina to kayak for 2-3 hours.

Unreasonable Damage or Loss of Equipment

Participants are liable for any unreasonable or inappropriate use of hire equipment. This includes damage to bikes from crashes or incorrect use of gears. Repair or replacement costs will be charged to the card on file.

Rescue

Where we have to collect guests or equipment for any reason that we deem to be beyond our control or as a result of poor customer choices including (but not limited to) flat tire, broken chain, accident, lack of ability, exhaustion, flat batteries or becoming lost, all charges associated with this will be charged including a MINIMUM of $75 per hour (charged in 1 hour blocks) from departure to return.

Bike requirements
All bikes must be of a standard that doesn’t represent an unreasonable safety risk to the individual or other participants. We have a duty of care to all participants. Unsafe bikes pose a risk not only to the rider but also to other participants and trail users. We cannot allow anyone to participate on unsafe bikes. There will not be credits or refunds if your child cannot participate due to the unsafe or unsuitable nature of their bike.

A suitable bike will always have:

  • Functional hand brakes for both the front and rear wheels (no foot brakes permitted).
  • Correctly adjusted and well-maintained gears (bike must have gears).
  • Tires with a reasonable amount of tread.
  • Minimum tire size of 20” – It is highly unlikely that bikes with smaller wheels will be suitable for any programs. Some programs require participants to be riding 24” or 26” bikes; please check the program-specific details.
  • Well-maintained and serviced.

In addition to the above, many programs will have additional requirements. Please see the program-specific requirements in the links above.

All programs come with completely free bike safety checks, conducted by Bike On, which also includes free basic adjustments (excludes parts and labor costs to fit). We strongly encourage parents to take advantage of this offer if they have any doubts about the suitability of the bike.

Additional equipment requirements
The following equipment is compulsory for all programs:

  • A correctly fitting Australian Standards approved helmet – we strongly suggest a full-face helmet.
  • Enclosed footwear – we suggest MTB-specific footwear.
  • Water and a method of carrying it.
  • A tube that is suitable for your bike.

Please note, instructors are already required to carry a significant amount of equipment and heavy backpacks as part of their role. They have very limited space in their backpacks, so please do not assume they can carry participants’ water or snacks.

We also strongly recommend the following protective equipment:

  • Full face helmet.
  • Knee and elbow pads.
  • Full finger gloves.

Missed / skipped sessions (school term programs or subscription programs)
Bike On strictly adheres to capacity numbers for all programs and cannot typically accommodate missed or canceled sessions by moving kids around between different programs week to week. There are typically no credits or refunds for sessions riders do not attend. However, where possible, we are happy to try and accommodate changes, but they are not guaranteed as most programs are typically full.

All term programs are priced on the assumption that 7 of 10 weeks will run. However, we will run all 10 term program weeks at no additional charges if conditions allow, essentially providing up to 3 free/make-up sessions per term and some degree of flexibility for students who skip weeks for various reasons. In normal circumstances, participants will get more than the 7 weeks; in very rare circumstances, they may not.

Low weekly costs are achieved by selling spaces as a term-long program and are not possible by selling weekly spots on a casual basis. If you envisage missing the majority of weeks, you may wish to pay the week-by-week casual fee of $75. However, this is strictly subject to availability in the group that is suitable for your child. There is no guarantee of availability on any given week, and availability changes over the term.

In the event of inclement weather (heavy rain, storms, etc.), we may look to postpone, modify, or cancel the session, but we will attempt to deliver the majority of classes. As a result, we do ride in the rain with due consideration for safety.

Missed / skipped programs (school holiday programs or other stand-alone events)
By purchasing an MTB program, you are receiving a limited place in a program that is subject to our general booking change and cancellation policy outlined below. Where riders elect not to ride for one or more of the days for any reason, we do not guarantee a credit or place in an alternative program. Where we can provide a credit for an alternative booking in the same holiday period, we will attempt to, but this is not guaranteed and is entirely subject to availability.

Cancellations by us (school term programs or subscription programs)
All term programs are priced on the assumption that 7 of 10 weeks will run. However, we will run all 10 term program weeks at no additional charges if conditions allow. Essentially providing up to 3 free/make-up sessions per term and some degree of flexibility for students who skip weeks for various reasons or sessions that have to be canceled.

In the event of inclement weather, we may cancel the session but will attempt to deliver the majority of classes. Program attendance is not compulsory, and riders are always free to make their own decision on whether to attend, but credits are not given if a participant elects not to attend.

Cancellations by us (school holiday programs and stand-alone programs)
Where we cancel a school holiday program, we will provide refunds or credits for those who have purchased the program independently of any subscription program.

Communication channels
In the event we need to cancel a day at short notice, we will communicate by email and on our private parents’ Facebook group.

Holiday Programs Booking Terms – Conditions & Exclusions – Included in ALL subscriptions.

All subscriptions entitle you to attendance at selected school holiday programs at no additional charge. However, there are restrictions that vary depending on the subscription selected.

After School Shredders Subscriptions

  • INCLUDES 2 days of standard School Holiday MTB programs per week of the school holidays.
  • EXCLUDES programs that include transport, accommodation or 3rd party providers

Development Team Subscriptions

  • INCLUDES 2 days of School Holiday MTB programs per week of the school holidays. Choose from:
    • Standard School Holiday MTB programs
    • Shuttle Days
  • EXCLUDES Road Trips, and programs that include accommodation or 3rd party providers

Development Team With Road Trips Subscriptions

  • INCLUDES 2 days of School Holiday MTB programs per week of the school holidays. Choose from:
    • Standard School Holiday MTB programs
    • Road Trips
    • Shuttle Days
  • EXCLUDES any programs that include accommodation or 3rd party providers

Enrolment in holiday programs is strictly subject to availability and all programs must be booked online using the following discount codes (to avoid awkward conversations please only use codes relevant to your program subscription type as they will be cross checked). These codes are only valid if you hold the relevant subscription at the time of the event you have used the code for.

  • AYCR – 100% Discount for all 1 & 2 Day School Holiday Programs . For use by anyone with a month by month kids after school subscription program. 
  • DEVELOP – 100% Discount on all 1 & 2 Day School Holiday Programs, Intermediate Shuttles and Selected Road Trips. For use by Saturday MORNING group monthly subscription holders only.
  • ROAD TRIP – 100% Discount on all 1 & 2 Day School Holiday Programs, Advanced Shuttles and Selected Road Trips. For use by kids with a monthly Road Trip Program subscription only
  • BIKEON – 100% off all adult social programs (excluding road trips, holidays and events). For use by anyone with a child in a weekend or after school program or people with a bike on social membership only
  • SOCIAL – 25% off Bike On Social road trips, holidays and events. For use by anyone with a kid in a weekend or after school program or people with a bike on social membership

You are not automatically enrolled in holiday programs – you must book – spaces are limited

All program bookings associated with a subscription are for the child named on the subscription only. They are not transferable to others.

Although programs are included, please DO NOT book into programs you are not likely to attend. We understand completely that occasionally you will book a program that cannot be attended, however continually booking programs you do not attend will result in your bookings not being accepted.

Subscription Changes & Cancellations

Your subscription will continue to be billed monthly and charged to the card on file, on an ongoing basis, until you cancel it.

Your subscription can be cancelled at any time by logging into your account. You will need to do this yourself in your account. Refunds are not provided for unused portions of your subscription, however you will be free to utilise any services included until the end of the relevant period.

If you cancel, you will be free to utilise Bike On programs as per your subscription until the next renewal date. Subscriptions reserve your place in our programs, and are priced on the assumption they are held on an ongoing basis. They can be canceled at anytime but they will not be paused for periods you don’t plan on attending. By cancelling your subscription your place will not be held and the place will be offered to families on waitlists.

If you wish to make alterations, such as changing days, but not cancel your subscription program, please contact us.

Bike On Jerseys  – Included in ALL subscriptions

Your subscription comes with a FREE bike on jersey (one at subscription and one each full year of subscription). To collect your jersey please come to the shop 12, 20 Venture Drive Noosaville to find your size. 

There is an option of a personalised race team jersey, however this is available only to selected riders and subject to conditions, please contact us to discuss.

Other Perks in ALL subscriptions

  • Ongoing access to your selected programs and a guaranteed spot term to term while subscription is ongoing.
    • If you do not wish to change anything, your spot will carry over term to term
    • If you wish to change any details of your subscription please contact us
